Small farm affiliate onboarding guide

Use this process for every approved sales rep or affiliate. The goal is simple: a farm scans or taps a tracked link, requests information or starts onboarding, captures evidence in the PWA, and moves to human review without losing attribution.

Salesperson Start

Every rep needs a login, affiliate code, PWA link, dashboard access, and a clear boundary on claims.

  • Login Use the assigned email and reset password if needed.
  • Dashboard Open `/my/affiliate/` to build links and check scoped activity.
  • PWA Use `/pwa` in the field for scan, capture, and farm onboarding.

Farm Experience

The farmer should not need to understand internal systems. They need a clear next step and a mobile path.

  • Scan QR or tap tracked link.
  • Choose more information or get started.
  • Enter farm/company contact data.
  • Capture labels, farm profile, invoices, photos, and origin evidence.

Manager Control

Managers validate the setup, approve compensation rules, and check that only scoped data is visible.

  • Verify user, roles, sales partner, vanity code, and affiliate node.
  • Confirm email packet was sent and reply-to is routed.
  • Check dashboard scope before releasing live traffic.

Standard Flow

Create the rep record.
Set up user, contact, address, sales partner, affiliate code, and affiliate node.
Send welcome packet.
Include login, dashboard, PWA, link-building, lead-import, reply/CC, and claim-boundary instructions.
Build QR/PWA link.
Use campaign, source, product, affiliate code, and optional downline values.
Capture the farm lead.
Collect farm name, contact, email, phone, address, product/category, and source notes.
Capture evidence in the PWA.
Use the phone for farm profile, producer identity, product labels, origin records, invoices, photos, and prior audits.
Route to human review.
No certification, public badge, registry listing, map listing, token, or override payout is final without approval.
Validate outcome.
Another agent or manager checks the records, email, links, dashboard scope, and evidence trail.

Manager Email Controls

Use this when an approved affiliate needs the onboarding packet resent. Login and role checks happen before any email is sent.

Salesperson Checklist

  • Can log in and open the control panel.
  • Can open affiliate dashboard and see own code.
  • Can copy a tracked link.
  • Can open PWA from mobile.
  • Can scan or capture a document/photo.
  • Can explain that human review controls certification.
  • Can send lead-import rows with affiliate code included.

Manager Checklist

  • User is enabled with scoped roles only.
  • Sales partner referral code matches vanity code.
  • Affiliate node is under the approved network root.
  • Dashboard shows own/downline data only.
  • Welcome email is sent and tied to the user record.
  • Reply-to routes into the support or onboarding queue.
  • Compensation and overrides remain held until approved.

Email Rules

Use the VRP thread when possible. If replying outside the portal, copy the queue address provided by operations so the message can attach to the correct record.
